Position Summary

The Human Resources Information Systems (HRIS) Coordinator plays a pivotal role in helping maintain the organization’s HRIS and other HR platforms, ensuring efficiency, accuracy, and compliance with relevant regulations. This position requires a blend of technical expertise and HR acumen to support data management, process improvement and documentation, security enforcement, and overall system administration. The HRIS Coordinator ensures the smooth operation, accuracy, and integrity of HR systems, enabling the organization to operate efficiently.

Essential Duties and Responsibilities:

  • Data Management: Support the management of HR data integrity, accuracy, and confidentiality, ensuring compliance with data protection regulations and internal policies. Assist HR team with creating, implementing, maintaining, and reviewing reports and audits to ensure data integrity across HR systems.
  • User Support and Training: Provides technical support to HR team and other stakeholders, troubleshoots system issues, fields end user questions, and delivers training sessions to users and identified Subject Matter Experts (SMEs) to ensure optimal utilization of the HRIS and other HR systems.
  • Process Documentation and Improvement: Assists with the creation and maintenance of system documentation, internal and external end user guides, and Standard Operating Procedures (SOPs), ensuring all documentation and policies remain up to date and reflect current system configuration and user needs. Works in collaboration with HR team and other stakeholders to identify opportunities to enhance system functionality, end user experience, automation, and process efficiency.
  • System Administration and Review: Assist HRIS administrators with system configuration, user management, and general maintenance of HR platforms (e.g., Paycom, iCIMS, Qualtrics). Support the HR system review and discovery process by taking meeting notes, compiling departmental feedback, and gathering necessary documentation to be shared with relevant stakeholders.
  • Other duties and projects as assigned.

Education Requirements

  • Associates or Bachelor’s degree; or requisite experience

Basic Qualifications

  • 2+ years of Human Resources experience, 1+ years of HRIS or other similar system experience preferred
  • Strong written and verbal communication with ability to develop and maintain positive professional relationships with internal and external parties.
  • Ability to organize, prioritize, and multi-task while maintaining accuracy and focusing on attention to detail in a professional and efficient manner.
  • Excellent problem-solving skills with ability to work both independently and collaboratively in a fast-paced environment.
  • Demonstrated ability to maintain strict confidentiality of protected information.
  • Ability to work both independently and within a team environment.

Physical Requirements

  • Frequently communicates with employees and vendors using email and phone. Must be able to exchange clear, accurate information in a professional manner in these situations.
  • Frequent keyboarding

Technical Skills:

  • Excellent proficiency in the Microsoft Office suite, including MS Word, PowerPoint, and advanced Excel skills. Project management software, VB or SQL experience is a plus
  • 1+ years' experience in data management, including data entry, validation, auditing and/or 1+ years’ experience in reporting and analytics preferred.
